AI Policy

Artificial Intelligence (AI) Policy

Seltics Journal: Scope of English Language Teaching, Literature and Linguistics Journal

  1. Purpose and Scope

Seltics Journal recognizes that artificial intelligence (AI), including generative AI and AI-assisted technologies, can support academic research and scholarly communication. However, the use of such technologies must be consistent with the principles of academic integrity, transparency, originality, confidentiality, and responsible research conduct.

This policy establishes the requirements governing the use of AI tools by authors, reviewers, and editors involved in the preparation, submission, peer review, and publication of manuscripts in Seltics Journal.

For the purposes of this policy, AI tools include generative AI systems, large language models, AI-powered writing assistants, AI-based image generators, and other technologies capable of generating, transforming, analyzing, or interpreting content.

  1. Policy for Authors

2.1 Permitted Use of AI

Authors may use AI tools responsibly to support manuscript preparation, including:

  • Improving English grammar, spelling, punctuation, and readability.
  • Assisting with language editing and sentence clarity.
  • Organizing ideas and improving the structure of a manuscript.
  • Generating preliminary ideas or identifying potential research questions.
  • Supporting data analysis or other research procedures when methodologically appropriate and transparently reported.
  • Assisting with other legitimate academic tasks, provided that the use complies with research ethics and intellectual property requirements.

The use of AI must not replace the authors’ intellectual contribution, critical thinking, scholarly judgment, or independent interpretation of research findings.

2.2 Mandatory Disclosure

Authors must disclose the use of generative AI or AI-assisted technologies when such tools contribute substantively to manuscript preparation, content generation, analysis, interpretation, or the production of figures and other scholarly materials.

The disclosure must identify the AI tool or service used, explain its purpose, and describe the nature of its contribution.

Basic spelling, punctuation, and grammar checking, as well as conventional reference-management functions that do not involve generative AI, do not require disclosure.

Where AI is used as part of the research methodology, its use must be described in the relevant section of the manuscript, including sufficient information about the tool and procedure to support transparency and reproducibility.

2.3 Disclosure Statement

Authors must include the following statement, where applicable, at the end of the manuscript before the References section:

Declaration of Generative AI and AI-Assisted Technologies

“During the preparation of this manuscript, the author(s) used [name of AI tool/service] for [specific purpose]. The author(s) critically reviewed, verified, and edited the AI-generated output and take full responsibility for the accuracy, originality, integrity, and final content of the manuscript.”

Authors must modify this statement to accurately reflect their actual use of AI. If AI was not used in a manner requiring disclosure under this policy, no declaration is necessary.

2.4 Author Responsibility and Accountability

Authors remain fully responsible for all content submitted to and published in Seltics Journal, regardless of whether AI tools were used. Authors must:

  • Verify the accuracy and relevance of AI-generated information.
  • Check the validity of all references, quotations, citations, and bibliographic details.
  • Ensure that the manuscript presents original scholarly contributions and does not infringe copyright or other intellectual property rights.
  • Ensure that AI-generated content does not introduce plagiarism, fabricated data, misleading claims, or unsupported conclusions.
  • Review AI-assisted translations and language revisions to ensure that the intended meaning and scholarly arguments remain accurate.
  • Comply with applicable research ethics, data protection, and confidentiality requirements.

AI tools must not be listed as authors or co-authors because they cannot assume responsibility for the work, approve the final manuscript, or fulfill the obligations of authorship.

2.5 Prohibited Use of AI

Authors must not use AI tools to:

  • Fabricate, manipulate, or falsify research data, results, quotations, references, or evidence.
  • Present AI-generated material as verified original research without appropriate human evaluation and disclosure.
  • Produce misleading or unsupported interpretations of research findings.
  • Conceal plagiarism, duplicate publication, or other forms of academic misconduct.
  • Generate or manipulate research images, figures, or other materials in ways that misrepresent evidence.
  • Violate copyright, privacy, research ethics, or the rights of research participants.

AI detection scores alone will not be treated as conclusive evidence of misconduct. Any concerns about inappropriate AI use will be assessed through appropriate editorial procedures and consideration of the available evidence.

  1. Policy for Reviewers

Reviewers must preserve the confidentiality of all submitted manuscripts, review reports, and editorial communications.

Reviewers must not upload or disclose unpublished manuscripts, substantial portions of manuscripts, confidential review materials, or identifiable author information to external AI tools.

AI tools must not replace reviewers’ independent scholarly assessment, critical analysis, or recommendations concerning a manuscript’s originality, methodology, validity, significance, and suitability for publication.

Reviewers may use AI tools for limited language assistance or to improve the clarity of their own review reports, provided that confidential information is not disclosed and the use is permitted by the journal.

Reviewers remain fully responsible for the accuracy, fairness, originality, and professional integrity of their reports. Where substantive AI assistance is used in preparing a review report, reviewers must disclose the tool and purpose to the handling editor.

  1. Policy for Editors

Editors must maintain editorial independence, confidentiality, fairness, and accountability throughout the editorial process.

Editors must not upload submitted manuscripts, unpublished research, confidential reviewer reports, or private editorial correspondence to external AI tools.

AI tools may be used for appropriate administrative or language-support tasks that do not expose confidential information, compromise editorial independence, or replace human judgment.

Editorial decisions, including desk rejection, peer-review decisions, revision requests, and acceptance or rejection of manuscripts, must be made by qualified human editors. AI-generated recommendations must not be treated as a substitute for independent editorial evaluation.

Editors are responsible for ensuring that manuscripts are assessed fairly and consistently with the journal’s publication ethics and editorial standards.

  1. AI-Generated Images, Figures, and Other Materials

Authors must disclose the use of generative AI in producing images, illustrations, figures, or other materials included in a manuscript when such use is substantive.

Authors must ensure that these materials do not misrepresent research evidence, infringe intellectual property rights, violate privacy, or breach research ethics.

For images or other materials used as research evidence, authors must provide sufficient information about the AI tool and the procedures used, where applicable. AI-generated images must not be presented as authentic photographs, documentary evidence, or unaltered research outputs.

The journal reserves the right to request clarification, supporting documentation, or original materials when necessary to assess the integrity of submitted content.

  1. Research Methods and AI-Assisted Analysis

When AI tools are used for data collection, coding, transcription, translation, qualitative analysis, quantitative analysis, or other research procedures, authors must describe their use in the Methods section or another appropriate section.

The description should include the name and version of the tool, where available, the purpose of its use, the relevant procedures, and the role of human verification.

Authors must ensure that the use of AI is methodologically appropriate, that findings are independently evaluated, and that confidential, personal, or sensitive research data are protected.

  1. Editorial Assessment and Compliance

Seltics Journal may request clarification or additional information about the use of AI at any stage of the submission, review, or publication process.

If potential violations of this policy are identified, the journal will assess the matter in accordance with its publication ethics procedures. Depending on the seriousness of the issue, possible actions may include requesting clarification, requiring corrections or revisions, rejecting a manuscript, or taking appropriate post-publication action.

Any action will be based on the available evidence and the nature of the violation, rather than solely on an AI detection score.

  1. Policy Updates

Seltics Journal recognizes that AI technologies and scholarly publishing practices continue to evolve. This policy may be reviewed and updated periodically to reflect developments in responsible AI use, publication ethics, research integrity, and applicable standards.

By submitting a manuscript to Seltics Journal, authors confirm that they have read and agree to comply with this AI Policy.
